QR Code Inventory Management is now available in Apex Rental Pro. You can now create QR codes for inventory items from your Apex web dashboard, print them as labels, and scan those items directly from the Apex Rental Pro mobile app.
There is no separate scanner, special hardware, or additional app required. Your team can use the phones they already carry to check inventory in and out while loading, unloading, or working in the warehouse.
Getting started with QR Code Inventory
QR tracking is enabled individually for each inventory item, so you can decide exactly which equipment you want to label and track.
To create and print a QR code:
- Log in to your Apex Rental Pro dashboard on the web.
- Open Inventory.
- Select the inventory item you want to track.
- Enable QR Code Tracking for that item.
- Click Print QR Code.
- Print the QR code and attach it to the item, case, bin, bag, or other equipment you want your team to scan.
You can enable QR tracking only for the equipment where it makes sense, or work through your inventory and gradually add labels to everything you want tracked.
Scanning QR codes from the mobile app
Once an item has QR tracking enabled, your crew can scan it directly from the Apex Rental Pro mobile app.
On your phone:
- Open the Apex Rental Pro mobile app.
- Open Inventory.
- Tap the new QR Code Scanner button.
- Point your phone's camera at an Apex inventory QR code.
- The matching inventory item will automatically open.
- Choose whether you are Checking Out or Checking In the item.
That's it. There is nothing additional your crew needs to configure before they start scanning.
Checking inventory out
When an item leaves your warehouse, scan its QR code and choose Check Out.
If the item is being used for a scheduled rental, Apex can associate the inventory movement with the appropriate rental. If the movement is not connected to a customer rental, it can be recorded as General Inventory instead.
This gives your team a quick way to record equipment as it moves without having to manually search through the inventory list every time something leaves the warehouse.
Checking inventory back in
When equipment returns, open the QR scanner again, scan the label, and choose Check In.
This makes the unloading process simple: scan each labeled item as it comes off the truck and Apex records the inventory movement as it happens.
Combined with your pull and pack sheets, your team can use the packing list to see what should be loaded and QR scanning to record what is actually moving in and out.
Quantity tracking is built in
The QR scanner also understands inventory quantities.
Apex keeps track of the number of units being checked in or out and prevents your team from recording quantities that exceed the inventory available. When inventory is associated with a rental, Apex can also keep the scanned quantity aligned with the quantity required for that rental.
This allows the QR workflow to work for more than individually serialized pieces of equipment. A QR label can also represent an inventory item where multiple units are being moved at once.
View QR inventory activity from Apex
QR scans become part of your inventory activity inside Apex Rental Pro, giving you a record of equipment being checked in and out.
Your QR inventory dashboard can help you quickly review:
- QR-enabled inventory — see which items currently have QR tracking enabled.
- Check outs — review inventory that has been scanned out.
- Check ins — review inventory that has been scanned back in.
- Scan activity — see recent QR inventory activity from your team.
- Frequently scanned items — see which inventory items are moving most often.
No separate barcode scanner required
The feature is built directly into the same Apex Rental Pro mobile app your crew already uses in the field. If they have their phone, they have an inventory scanner.
That means there is no separate scanner to purchase, no second system to sign into, and no additional inventory app for your team to learn.
Start using QR Inventory today
If you already use Apex Rental Pro, the new QR scanner is available from Inventory in the mobile app.
To create your first label, log in to Apex Rental Pro from the web, open Inventory, enable QR codes for an item, and click Print QR Code.
Attach the label to your equipment, open Inventory on your phone, tap the new QR scanner button, and scan it.
