A generator does not care that the bride's parents are due at four. If it is sited wrong, wired wrong, or fed the wrong extension cord, it will pick the worst possible moment to prove it. Power is the one part of a tent build that owners plan last and regret first, so here is how to put it on the quote and the layout instead of the panic list.

Why the fire marshal already has a checklist, and you should too

Most operators find out the hard way that generator placement is not a judgment call once a tent goes over a certain size or the event needs a permit. The National Park Service's fire and life safety manual for outdoor events and tent use is written for its own parkland, but the numbers come straight from the National Fire Protection Association codes that most local authorities having jurisdiction lean on too. Under that manual, portable generators have to sit at least 5 feet from any tent or membrane structure and be fenced or otherwise protected so nobody wanders into a hot exhaust or a spinning belt. The exhaust itself has to point at least 5 feet away from any door, window, or air intake, and every cord that crosses a walkway needs a non-conductive mat or cover so it stops being a trip hazard.

None of that is exotic. It is the kind of detail that gets skipped when the crew is racing daylight and the generator gets dropped wherever the truck happened to stop. Bake the clearance into the plan before the truck even leaves the yard and nobody has to make that call at 5pm with a line of catering vans waiting to unload.

How far is actually far enough

Five feet from the tent wall, with a barrier between the generator and anywhere guests or kids can wander, covers the baseline. Add distance for anything that burns fuel near it, keep it off the direct path between the parking area and the tent, and downwind of the dinner tables if you have any say in the site plan. A generator running all afternoon next to the head table is a complaint waiting to happen even before you get to code.

Cords, grounding, and the stuff that actually trips people up

Fires and electrocutions at outdoor events rarely come from the generator itself. They come from what is plugged into it. Put power on the quote, not the day-of scramble

The best fix for all of this is boring: decide the power plan during the site walk, before you have priced anything. A 20-by-40 with string lights and a DJ booth needs a different setup than a corporate stagecraft build running LED walls, truss lighting, and a full PA system, and the second one can blow past what a single consumer-grade unit was ever built to carry. Ask what is plugging in, tally the draw, and size the generator for that load plus headroom, not for what fit on the trailer.

Write it down: check fuel level and exhaust direction every couple of hours, confirm the clearance barrier has not been kicked aside, and keep the shutdown and refuel procedure somewhere the on-site lead does not have to reconstruct from memory. That checklist belongs in the same place as your day-of operations plan and your evacuation plan, because a generator problem and a weather problem tend to ask the crew for the same thing: a clear head and a plan that was already written down before things got loud.

There is a quieter payoff to getting all of this right, too. A venue or a planner who watches your crew fence off a generator, mat down the cords, and hand over a certificate of insurance without being asked twice is a venue that calls you again next season. Power planning is not glamorous. It is the difference between a rental business that looks like it has done this a thousand times and one that is visibly winging it, and clients can tell which is which within the first ten minutes on-site.
