Every tent rental owner knows the question. The customer is standing in the backyard, squinting at the grass, and they ask it the same way every time. "Will it all fit?" You can answer with a tape measure and a hopeful tone, or you can answer with a floor plan that shows the 40 by 60 tent, every round table, the dance floor, and the bar, drawn to scale before a single stake goes in the ground.

The Layout Designer in Apex Rental Pro is how you draw that plan, and it takes minutes, not an evening with graph paper. This is a walkthrough of how to actually use it, on the desktop and on your phone, so the next time someone asks if it all fits, you can show them instead of guessing.

Start with the tent, not the furniture

Open Layouts from the main menu and click New Layout. The first thing the designer asks for is the tent itself, and that is the right place to start. Pick your tent type, either a Frame Tent or a Center Pole Tent, then type in the width and length in feet. A 40 by 60 frame tent draws itself on the canvas, to scale, the moment you enter the numbers.

If you run pole tents, set the number of center poles and the designer places them for you, so the layout reflects the real obstacles your crew has to work around. There is a reason that matters. A center pole sitting in the middle of a head table is the kind of surprise you want to catch on a screen, not on event morning. Once the tent is on the canvas, hit Fit to zoom the whole thing into view. Now you have your stage. Everything else goes inside it.

Drop in tables, and let the chairs seat themselves

The Palette holds everything you can place: round tables, rectangular banquet tables, chairs, a dance floor, a bar, a DJ booth, a stage, a head table, and any custom item you build yourself. Drag a round table onto the canvas and it lands where you drop it. Drag another. Keep going until the dining area looks right.

Here is the part that saves real time. Select a table and click Add Chairs, and the designer rings it with chairs automatically. Got thirty tables down already? Use Seat All Tables and every table on the canvas gets its chairs in one move. A round table seats eight, a banquet table seats six, and the seating fills in the way it actually would on the ground. You are not dragging chairs one at a time like it is a video game from 1994.

Need a dance floor? Drop one in and size it small, medium, or large. Add a bar, a DJ booth, a gift table, whatever the booking calls for. If you sell setups as packages, the same thinking that goes into your rental kits and bundles applies here: build the common arrangement once, then reuse it.

The Quick Start shortcut nobody talks about

If you would rather not start from an empty tent, click Quick Start. Pick a template, Wedding Reception, Ceremony, Party, or Corporate, tell it the guest count, choose round or rectangular tables, set the dance floor size, and toggle on the bar, DJ, or gift table. The designer builds a realistic, scaled layout for you in one click. From there you nudge things around to match the venue.

For a busy week in June, Quick Start is the difference between a layout that takes two minutes and one that takes twelve. Build from the template, tweak the parts that are unique to the job, save it, and move on to the next quote.

Snap, align, and stop fighting the grid

Precise floor plans used to mean fighting with alignment. Apex Rental Pro handles it for you. Turn on Snap and items click neatly to each other and to the grid, with a snap strength you can set to Soft, Normal, or Strong depending on how much help you want. Select several tables by dragging a box around them, then use Align and Distribute to space them evenly down a row. No more eyeballing whether table four lines up with table nine.

When something is selected, a small action menu floats next to it with Duplicate, rotate, send to front, and delete. Rotate a banquet table fifteen degrees at a time, or punch the rotate buttons for a clean ninety. Toggle Measurements to see the real dimensions on the canvas, and Names to label each piece. If you want a restore point before a big rearrange, hit Checkpoint first, and you can roll back to it from History if the new idea turns out worse than the old one.

Yes, it works on your phone

The Layout Designer lives in the Apex Rental Pro mobile app too, on iPhone and Android. Open the app, go to Layouts, and you can open an existing build or start a new one right from the truck. The screen reorganizes into tabs at the bottom, Palette, Selected, Layouts, and Tips, so the controls fit a phone instead of cramming a desktop toolbar onto a five inch screen.

The gestures are what you would expect. Tap a palette item, then tap the canvas to drop it. One finger drags the selected piece. Two fingers pan and pinch to zoom. The same Quick Start templates are there, and so is the floating bar to rotate, duplicate, or delete whatever you have selected.

Honest take: the phone is built for quick reference and light edits, and the app says so with a banner reminding you that the designer works best on desktop. Pull up the wedding layout in the venue parking lot to double check the dance floor placement, make a small tweak, save it. For building a complex 250 guest plan from scratch, you will be happier at a real screen. The point is that the layout you saved at the office is the same layout in your pocket, the same way your live crew map keeps the office and the field looking at one source of truth.

Send it to the customer without leaving the page

A layout that only you can see does half the job. When the plan is ready, click Export PDF for a clean, branded floor plan with your logo on it, ready to print or save. Or click Email Layout, type the customer's address, add a short note, and send. They get the PDF plus a preview image, branded as your company, without you exporting a file, opening your email, and hunting for the attachment.

This is where a floor plan earns its keep. A customer who can see the layout approves faster, adds the dance floor they were on the fence about, and stops sending the "wait, where does the bar go" emails. You can also attach the layout to the event so it rides along with the rest of the job, right next to the load sheet your crew prints on Saturday morning.

A few numbers worth keeping in your head

The designer draws to scale, which only helps if your sizing instincts are sound. A few figures from the rental trade that pair well with a floor plan:

  • Seated dinners want room. Plan on roughly 12 to 15 square feet per guest for a seated dinner with tables, chairs, and serving aisles, versus 6 to 8 for a standing cocktail reception, per published tent sizing guides. A 100 guest seated dinner needs 1,200 to 1,500 square feet of tent before you add anything else.
  • Dance floors follow a formula. Figure about half your guests dancing at once, at 4 square feet each. By the common dance floor math, a 200 guest wedding lands near a 20 by 20 floor. Drop one on the canvas and you will see in a second whether it crowds the tables.
  • Leave the catering corridor. Servers need about three feet of clear space behind seated guests. It is easy to forget on paper and obvious on a scaled floor plan when the aisle disappears.

Sketch the tent, drop the tables, add the dance floor, and the screen tells you whether the math works before you ever quote the job. That is a lot better than finding out when Uncle Dave is doing the limbo around the dessert table to reach his seat.
